We know that great people are critical to the success of our office, and we are looking to add a proactive, detailed, and team-oriented Student Services Assistant I to our Graduation and Outreach team. What you’ll be doing:

Under the direction of the Assistant Registrar for Graduation and Outreach, the Student Services Assistant I is tasked with awarding completed credentials according to University standards and policies. Other responsibilities include reviewing graduation applications, and informing students, advisors, faculty, and staff of university policies and procedures relating to graduation.
 
Additional responsibilities include cross-training in all areas of the Registrar’s Office and assisting team members with a variety of tasks and projects as assigned. Responsibilities are primarily clerical in nature and include precise data entry.

Optional hybrid schedule of one remote workday depending on departmental needs.


Summary of Responsibilities


  • Informs students, faculty, staff and advisors on graduation requirements, policies, and procedures, including degree requirement substitutions or waivers. Advertises upcoming deadlines as necessary.
  • Evaluates student performance toward graduation or transfer objectives. 
  • Researches, prepares, and issues diplomas as requested. 
  • Ensures that all substitutions, waivers, exceptions and any necessary adjustments to student’s programs of study based on transferred degrees and of degree requirements in the degree audit system are properly recorded. 
  • Updates student records in the computer system to accurately identify the proper degrees that have been awarded to students.
  • Prepares and distributes reports on graduation applications and student completion rate each semester.
  • Assists students in the completion of their applications for graduation. Performs final evaluations of requirements and authorizes the awarding and distribution of degrees.
  • Maintains accurate inventories of all supplies needed for graduation, including mailing envelopes and labels, diploma covers, etc.
  • Plans and prepares annual commencement activities each year, including the commencement program, essential reports, Grad Fest check in, and any other related activities.
  • Performs other duties as assigned including cross training and assisting team members.

Minimum Qualifications

Graduation from an accredited institution with an associate degree plus two years of experience; or a bachelor’s degree; or any combination of related education and experience totaling four years.

Knowledge, Skill, and Abilities

Knowledge:

  • Knowledge of department processes, procedures, and policies (training provided). 
  • Knowledge of FERPA regulations (training provided).
Skills:
  • Skills in data entry (training provided). 
  • Skills in Ellucian's Banner student information system (training provided). 
  • Skills in Microsoft Office products: Excel, Word, Power Point, Outlook, Teams, SharePoint, One Drive (training provided). 
  • Skills in Qualtrics Experience Management Software (training provided).
